Position Summary

The Admission Office Coordinator is exceptionally organized with a great attention to the details that support all aspects of the San Francisco Day School admissions process. The ideal candidate is able to represent the school with a dedication to support the admission goals by elevating the mission and values of SF Day. This role takes primary responsibility for the coordination of maintaining a well-organized database processes, event planning (in person and virtual), scheduling all meetings for prospective students and parent/guardian interviews. The Admission Office Coordinator, supervised by the Director of Admission, is both enthusiastic and committed to high standards of collaboration to assist, represent, and promote a warm, welcoming, and inclusive admission process for every prospective family from inquiry to enrollment.


Essential Responsibilities



  • Understand and represent with pride and confidence the SF Day Mission, Vision & Values
  • Building and maintaining relationships with organizations and preschools over time to continue improving our diversity goals, tracking communication and reporting progress monthly or as needed
  • Help with training orientations for the key story tellers of the school; the Admission Co-chairs along with parent/guardian, faculty/staff, and student ambassadors
  • Organize and coordinate all admission events, online and in person, including but not limited to webinars, open houses, school tours, student visits, and outreach events, etc.
  • Design a comprehensive tour route, effectively support the experience of the faculty/staff and parent/guardian participation in admission events by creating guidelines and schedules, arrange for catering, and childcare needs when necessary.
  • Develop and maintain a supportive relationship with faculty/staff, parent/guardian Admission Co-chairs, and Division Heads
  • Attend, with professionalism, to incoming phone calls and emails within 24 hours, addressing all aspects of the admission process
  • Oversee day-to-day running of Admission office (order supplies, optimize an organized shared office space, and maintain an efficient archiving system for confidential admission records, ensure applicant database is kept current)
  • Organize and track all incoming online (and paper) applications for admission, following up with families if pieces are missing
  • Support with welcoming events for newly enrolled students & families
  • Preview and confirm all applications for grades K-8 are complete for Committee review and identify the completed files for further consideration and interview process
  • Schedule Parent/Guardian Meetings for K-8 families and Student Visits for grades 1st through 8th in collaboration with grade-level teachers and the Lower School and Upper School Heads


  • Bachelor’s degree required
  • Impeccable professionalism, ability to maintain confidentiality at all times
  • Superb organizational skills with high efficiency and accuracy; meeting deadlines with consistency

  • Cross cultural competency; the ability to work with respect and grace with people from a broad range of cultural and economic backgrounds

  • Is enthusiastic and resourceful about planning/organizing events; online and in-person
  • Ability to balance competing demands and skilled to improvise or pivot as the situation requires
  • Experience working with database/s; some familiarity with Ravenna ADMIT and/or Ravenna ENROLL is a plus
  • Interest in documenting the story of the school; photography and video editing skill is a plus
  • Prior admission experience is a plus
